Project Quote With Buffer Calculator

Add a contingency buffer percentage to a base project cost to produce a safer quote.

—

The quoted price is the amount to charge the client, and the buffer part is the extra allowance inside that price for small extras and changes.

Formula

Quoted price = base cost multiplied by (1 plus buffer as a decimal).

How it works

Estimate the honest base cost of the project, then add a buffer for scope creep, delays and small extras. Quoting the buffered figure protects profit without padding every line item individually.

Worked example

For example, with a base cost of $5,000 and a buffer of 15%, the buffer is $750 and the quoted price is $5,000 × 1.15 = $5,750.

FAQs

How large should the buffer be?
Ten to twenty percent suits most defined projects. Vague or first-time work may need more.

Should the client see the buffer?
Usually not as a separate line. Present one clear quoted price, and keep the buffer as your internal safety margin.

What if the buffer is not used?
Then it becomes extra profit or room to absorb a discount, which is far better than an overrun.
